Docket Guest Access makes it easy for your guests to join your Docket meetings without having to sign up for a Docket account themselves. With Guest Access, meeting participants can:

  • View the agenda, guest list, and meeting information

  • View notes as they are taken

  • Access video conferencing within the meeting

  • View attachments and resources (as long as access is enabled at the document level)

Prerequisites

  • Guest access is a Docket Pro and Business Tier feature. To enable this option for your meeting guests, please ensure you are on a Pro plan or higher.

  • This option is set at the team owner level. Team members that wish to use this setting should notify their Docket team owner.

How it Works

  1. Enable the Guest Access setting in your Team Settings page

  2. Send an agenda prior to your meeting

  3. Guests will receive your professional agenda in an email and can click to View in Docket and see a read only version of the agenda


  4. A View Docket Meeting Agenda link will also populate within the Google/Outlook calendar event which a guest can use to access the workspace
    Note: a meeting agenda must be sent for this link to populate inside the Google/Outlook calendar event.

  5. For security purposes, guests will be asked to enter the email which appears on the calendar invite

  6. Guests will be able to review and follow a view only version of the Docket agenda

Configuration and Settings

Enable Guest Access

If you are on a Docket Basic tier account and wish to activate this Guest View Access:

  • Click the Upgrade to Pro badge at the top of your Docket account, or

  • Hover over the left-hand Global Navigation pop out

  • Click the Settings dropdown

  • Select Team Settings

  • Click to upgrade to the Pro or Business tier

  • After completing the remainder of the upgrade steps, Guest Access will automatically be enabled once your account has been upgraded

Modify Guest Access Setting

Docket Pro and Business users have this feature auto-enabled. Follow these steps if you wish to modify the default:

  • Hover over the left-hand Global Navigation pop out

  • Click the Settings dropdown

  • Select Team Settings

  • Check or uncheck the Guest Access setting as desired. Changes are automatically saved


Sending An Agenda

When sending an agenda to the meeting guests, the send modal will inform you whether you have Guest Access enabled or disabled.

If Guest Access is enabled:

  • Recipients of the sent agenda that do not have a Docket account will have the ability to view the Docket meeting without creating an account

  • Recipients of the sent agenda that already have a Docket account will be able to view the meeting from their established Docket account view

If Guest Access is disabled:

  • Recipients of the sent agenda that do not have a Docket account will first need to sign up for a Docket account before viewing the agenda and notes

  • Recipients of the sent agenda that already have a Docket account will be able to view the meeting from their established account view

Guest Experience

Guest Access enables a meeting guest to do the following:

Access - Join the Docket meeting from a sent agenda/recap or embedded link within the Google/Outlook Calendar Event. No sign-up when clicking from a sent agenda/recap or meeting event link to Docket.

Agenda - View the Docket agenda. The guest will be able to see the agenda from the workspace view.

Notes - View the notes as they are being taken. The guest will be able to observe the notes process in action so they can be a part of the meeting.

Resources - A guest can view any resources included in the shared meeting based on the settings of those resources.

  • From File - A guest that clicks on a shared resource from File in the emailed agenda will be taken to Docket to click and view the resource. If they are already in Docket's Guest View, they will be enabled to open the resource directly from there.

  • From Google Drive - A guest that clicks on a shared resource from Google Drive will be able to directly launch the resource if the Google document has already been set up to grant this permission.

  • From Link - A guest that clicks on a shared resource link will be taken directly to that link to view.

Calendar Details - A guest can view the information panel containing the calendar event details including guest list, video conferencing, and meeting details.

Join Video Conferencing - A guest can join the provided video conferencing directly from the Docket meeting.

Frequently Asked Questions

When meeting guest enters their email address, will they be registered for a Docket account?

No. When entering a meeting workspace, meeting guests who do not have a Docket will be asked to verify their email for security purposes. This verification will not sign up the meeting guest for a Docket account.

A meeting guest is encountering the error "Email Not Found," when attempting to enter the meeting workspace via guest Access.

This error means that the email address attempting to be used is not on the Google/Outlook calendar event. Double check that the correct email address is being used when attempting to access the Guest View of the meeting workspace.

Can my guests collaborate in the agenda or take notes?
Guests can contribute to the agenda or notes by signing up for a Docket account so that you may have the appropriate attribution of all notes taken. The Guest View provides a button to Create Account directly in the meeting so guests can easily sign-up and jump right into taking notes along with you.

Can my guests see my other meetings?
Guests can only see the meeting(s) to which they are invited. Unless you are sharing your screen via video conferencing, they cannot see your other meetings.

Can my guests see the notes I am taking?
Guests using guest access can view the notes as they are being taken.

Note:If you are using the private notes section, as long as you are not sharing your screen in a video call, guests cannot see notes taken in this section.

Why can't I change my Guest Access setting in My Account page?
If you are on a Basic tier, upgrade to enable this feature.
If you are on a Pro or Business tier as a team member, please work with your Docket team owner to modify this setting on behalf of your team.

Why can't my guest view a shared resource?

Check the settings of that resource at its source to ensure it has the desired permissions. If it is a Google document, it will need to be set with permissions for that user to view within the Google settings.
